What is Project Management as a Service (PMaaS)?

As Stoneseed celebrates 15 years of delivering solutions for IT Project teams and organisations, we thought it would be nice to strip one of our key products back to basics and answer the frequently asked question:

WHAT IS PROJECT MANAGEMENT AS A SERVICE (PMaaS)?

In a sentence, PMaaS is a One-Stop-Shop for IT Project people, tools, knowledge, skills, standards, governance and advice.

Stoneseed’s website explains PMaaS as “an innovative way to procure IT project management resources and services; and an alternative to traditional permanent hires or using contractors.” In this blog, we’ll explore what that means for you.

I considered starting this blog with an apology to regular readers, who possibly know all of what’s to come already. Instead, I invited some along on the journey by asking what Stoneseed’s PMaaS is to them. Again, from Stoneseed.co.uk, we say, “Stoneseed’s PMaaS model provides access to project professionals, resources and tools at a flexible and predictable cost. Our services portfolio offers a true end to end service, from IT Technical Advisory, Business Analysis Services and PMO Services through to Programme & Project Delivery.” Let’s explore what that means for PMaaS clients, CIOs, IT Project teams and stakeholders!

I think we all learned or were reminded of something – I hope you enjoy this too.

There are a wide variety of benefits and features, we only have space for 15 here – one for every year of Stoneseed! Do get in touch if you have any to add.

15 KEY FEATURES AND BENEFITS of IT Project Management as a Service

1 – Scalability

IT PMaaS allows your organisations to scale project management resources up or down based on project need and demands. As a result, projects get the appropriate level of attention and resourcing, without the need for overcommitting internal staff.

2 – Flexibility

“Turn it on, turn it off, turn it up or turn it down. Stoneseed’s innovative on-demand resource model allows you to dial up and down IT project resources in sync with your delivery needs”. PMaaS is a flexible engagement model, allowing part-time, full-time, short-term, or long-term arrangements. This flexibility helps organisations adapt to changing project requirements, resource demands and timelines.

3 – Access to Expertise

IT PMaaS gives your project team access to experienced project managers with specialised skills. Stoneseed’s team are experienced across multiple technology solutions, sectors and industries, and we work on all types of projects and programmes such as Business Change, Transformation, Infrastructure, Digital and IT Project Delivery. This kind of expertise ensures that projects are managed using current best practices and industry standards.

4 – Access To Continuous Learning

IT Project Managers in PMaaS environments are exposed to a wide range of very diverse IT projects, which keeps their skills and knowledge up to date with the latest technologies and methodologies. Organisations can benefit from this ever-expanding bank of knowledge and expertise. We always recommend becoming a knowledge sponge when you have PMaaS talent in your team, soak up all their experience to expand your know-how!

5 – Cost Efficiency

Firstly, PMaaS can save money! By avoiding the costs associated with hiring, onboarding, training, and retaining full-time IT project management staff, PMaaS can contribute to balancing budgets. For a start, PMaaS is a cost-effective solution – you are charged only for the services used. Furthermore, Stoneseed’s transparent pricing model allows you to budget and forecast project management costs accurately.

6 – Integration of The Latest and Best Tools

Using an IT PMaaS provider, your organisation can benefit from advanced project management tools and software, enhancing project planning, tracking, communication, and reporting capabilities. Innovations like Stoneseed’s P3MO Platform, constructed on Microsoft Office 365 technology, boost the power of your investment in existing cloud technologies, harnessing Planner (Microsoft Project), PowerApps, Teams, Forms, Automate, and Power BI to deliver collaboration, automation, integration and powerful business intelligence for your PMO.

7 – You’re Free to Focus On Core Business

“PMaaS frees us to focus on core business goals and initiatives” a client told me. It was a reminder that by having someone more adept at certain project management tasks, your internal team can switch its focus to core business activities and strategic initiatives, enhancing your overall productivity and efficiency. Stoneseed’s P3MO Platform, available under the PMaaS umbrella, can boost the administrative aspects of project management, like scheduling, resource allocation, and progress reporting.

8 – Improved Project Outcomes (#1) – On-Time, In-Budget

One of the greatest benefits reported by PMaaS clients is on-time, in budget delivery. All Project Managers take pride in ensuring that IT projects are completed on time and within budget, but projects are rarely straightforward and leveraging external expertise to navigate any complexities can tip the probability of success in your favour.

9 – Improved Project Outcomes (#2) – Quality Assurance

PMaaS clients also report greater Quality Assurance levels from IT PMaaS engagements. PMaaS talent is usually quicker at flagging up risk issues or errors, as their main driver is project success, and not their popularity with colleagues, for example. For PMaaS talent, the nature of the engagement (deliver the project and move on to the next) is very liberating and eliminates any need to cover up mistakes, for organisation this often results in a more focussed adherence to quality standards, reduced risk of errors and robust, reliable project deliverables.

10 – Better Risk Management

Just mentioned reduced risk, but management of risk deserves to be a key benefit of its own. PMaaS often delivers proactive risk identification, as experienced IT project managers identify and mitigate risks early in the project lifecycle. Stoneseed’s experienced team, our PMO governance protocols, and tools within Stoneseed’s P3MO Platform allows development of robust contingency plans to address potential issues, ensuring project continuity and minimising disruptions.

11 – Greater Agility

Whether it’s rapid deployment, or greater adaptability, Stoneseed’s IT PMaaS delivers greater agility. PMaaS allows quick deployment of project management resources, enabling you to respond swiftly to new opportunities or challenges and all of Stoneseed’s PMaaS services are available onsite or remote, in fact we are experts in Remote Project Delivery (and have been since years before it became an operational necessity during Covid!). Furthermore, the flexible nature of IT PMaaS means that project management processes and resourcing can be adapted to fit the specific needs of each IT project.

12 – Better Reporting and Analytics

Early adopters of Stoneseed’s P3MO Platform are reporting gains from better real-time project tracking and analytics, which provide stakeholders with up-to-date information on project status and performance. Access to more detailed reports and analytics leads to more informed decision-making, improving project outcomes. Remember, Business Analysis as a Service is part of Stoneseed’s PMaaS offer too, so whether it is production of a business case for an IT Project, requirements gathering or data analysis to help with project implementation, we’ve got you! BAaaS can be tailored to your specific requirements and, as always, Stoneseed’s team are experienced across multiple technology solutions, sectors and industries.

13 – Resource Augmentation

When in-house project management teams are overextended, overwhelmed, or lacking in certain skills and competences, Stoneseed’s IT PMaaS can provide additional resources to support ongoing IT projects or bridge talent gaps.

14 – Objective Perspective (The Value of Fresh Eyes)

“External” IT Project Managers bring an objective perspective with them, which can be crucial for making unbiased decisions and providing honest assessments of project progress and health. This lack of “team baggage” can be impactful in decision making and, clients tell us, in other areas too – like conflict resolution! Having an outside project manager can help resolve internal conflicts impartially, ensuring smoother project progression.

15 – Better Compliance and Governance

From strategy to programme and project delivery, our PMaaS model for project delivery is underpinned by Stoneseed’s PMO, governance, methodology and toolset. All of Stoneseed’s team are well-versed in industry regulations and compliance standards, ensuring that projects meet all regulatory requirements and our robust governance frameworks ensure project accountability. Furthermore, Stoneseed will get to know you and your business before advising PMaaS solutions, ensuring adherence to your organisational policies and alignment with your business goals.

CONCLUSION

IT Project Management as a Service (PMaaS) offers a flexible, scalable, and cost-effective solution for managing IT projects. By leveraging the expertise of professional IT project managers, advanced tools, and governance protocols, organisations can achieve better project outcomes, manage risks effectively, and enhance overall agility.
